Start with an identity, not a count
“Three 20-yard containers” is inventory planning. It does not answer which container a customer received, when its rental clock started or why the yard count changed. Give each physical asset a durable label, size and lifecycle state. Keep that identity through every delivery, exchange, pickup and repair.
In Smooth Hauling, a container’s current state comes from its movement history. Driver events and office corrections carry an actor and time. An exchange records the outgoing and incoming assets as part of the same visit. That history gives the office a place to investigate a missing box instead of reconciling competing spreadsheets from memory.

A last-known location is not a live tracker
A location recorded at a stop describes where a container was observed at that time. It cannot prove the container stayed there after the driver left. Inspect the age and source of the location before calling it current. Continuous telemetry requires a configured device and provider; a scan by itself supplies no continuous feed.
Use days on site to identify containers that need a pickup conversation or a rental review. When an asset cannot be located, record it as lost with the available evidence. Maintenance and retirement should also be explicit states so dispatch does not quietly count those containers as available stock.
What it won’t do
No GPS in the can unless you fit one. “Last seen” is the last time a driver’s phone or a person in the office confirmed it, and the page says when that was rather than guessing.
